Energy consumption is the cost category most often missing from copier-procurement conversations. The figure looks small on paper — typical tier-three office MFPs consume between 600 and 1,100 kilowatt-hours a year, which translates to €180 to €420 on Spanish business tariffs — and the small absolute number compared to the lease line or the CPP line makes it easy to drop from the budget. Across a five-year service life, the omitted figure compounds to €900 to €2,100 per device, and across a fleet of four devices the missing line can reach four figures.

Calculating the figure with reasonable precision needs three inputs: the device's published power consumption in each of its four operational states, the office's daily usage profile (how many hours in active duty, ready, sleep, and powered off), and the local electricity tariff. The first comes off the datasheet. The second comes from the office's working pattern. The third comes from the latest utility bill or from published commercial-tariff averages. With those three inputs, a buyer or facilities manager can produce a defensible annual energy figure in under fifteen minutes.

The watts-to-kWh conversion

From a datasheet wattage to an annual euro figure

Annual kWh = (Watts in each state × Hours per year in that state) ÷ 1,000
Annual cost = Annual kWh × local commercial tariff (€/kWh)

A tier-three colour MFP spending 2,000 hours a year in active duty at 720 W consumes 1,440 kWh on that state alone. Add 1,400 hours in ready state at 62 W (87 kWh), 4,200 hours in sleep at 2.8 W (12 kWh), and the office-off hours at 0.4 W (0.4 kWh). Annual total: 1,539 kWh on a high-utilisation duty profile.

The same device on a low-utilisation duty profile — say a small office producing 4,000 pages a month — sees roughly 500 active-duty hours and 2,800 ready-state hours, dropping the annual consumption to 534 kWh. The 3× swing in consumption between high and low utilisation is the largest single driver of the energy figure on the books.

Energy-saving moves with measurable payback

Move 01

Aggressive sleep timer

Reduce the device's sleep timer from the default 30 minutes to 5 minutes during the workday. Most current MFPs wake within 8 seconds from sleep, which keeps the productivity impact negligible.
